Why a PDF does not fit in a QR code
A QR code stores text. Its maximum capacity is around 4,296 alphanumeric characters, and that is in version 40, which is almost unreadable when printed small. A one-page PDF takes up hundreds of kilobytes: no version admits it. What does fit is the address of the file, which is what serious generators do.
Be careful with services that promise a “PDF inside the QR code”: what they do is host the file and give you a link. That link can expire or depend on their platform. Always ask where the file lives and what happens if you close the account.
Choosing the right link
- Your own URL:
https://tudominio.com/docs/catalogo.pdf. The most stable; you control permissions and changes. - Cloud storage: valid if the link is public, direct and does not expire. Avoid “share by email” links.
- Redirect link: useful if the file will move. The QR code points to your short URL and you update the destination.
Check the link on a phone with no session started, in a private window. If it asks for a login or shows a “request access” screen, the QR code will not work for the public.
Inserting a QR code inside a PDF
The reverse case is also common: a catalog, an invoice or a printed manual that carries a QR code to the web version. Export the code as SVG (vector) or PNG at 300 dpi, at 1.5–2 cm per side and with at least four modules of white margin. Do not stretch or rotate it.
If the PDF is printed in black and white, test the contrast in gray. If it has a colored background, make sure the QR code keeps dark modules on a light background; inverted, it fails on many readers.
Press test: print a sample sheet and scan it with two different phones before the full print run.
Permissions, privacy and expiry
A public PDF can be indexed or forwarded. If it contains personal data, do not publish it behind an open QR code: use a password-protected page or a short-lived signed link, assuming the QR code will stop working when it expires. For business documents, check that the file has no metadata with internal paths or usernames.
