PDF or web page: the decision that shows most
A PDF is convenient for the restaurant and awkward for the customer: you have to open it, zoom in, scroll sideways and sometimes download it. A responsive web page reads at first glance, loads faster and lets you update prices or flag allergens without reprinting. If the menu changes every week, the web page wins; if it is a seasonal menu that barely changes, a well-laid-out PDF can do the job.
Either way, avoid linking to a file that only you can open. Check the link from a phone with no session started and on mobile data, not only on the venue's Wi-Fi.
Static or dynamic: when it is worth it
A static QR code stores the menu URL. If you change the domain or the file, you have to reprint every piece. A dynamic one stores its own redirect link; you can change the destination and also count scans per table. That data tells you which zones use the code and which prefer the physical menu.
If you only have one bar and a stable menu, static is simpler and depends on no service. If you have several tables, terraces or seasons, dynamic saves you a box of outdated posters.
Printing and placement
- Size: 3–4 cm per side for a table; 8–10 cm for a stand at the entrance.
- Material: matte vinyl or matte-laminated card. Gloss reflects light and fails on terraces.
- Placement: close to the diner, not on the ceiling or behind glass with reflections.
- Text: add “Menu” next to the code; not everyone recognizes a QR code without context.
- Cleaning: fingers and sauce degrade the contrast. A dry cloth and a monthly replacement avoid surprises.
Accessibility and a physical alternative
Not every customer can or wants to scan: low battery, no data, visual impairment, older adults. Keep a physical menu or a short link written on the piece. The QR code should be a fast lane, not a barrier. Nor should you require scanning to order: the experience turns hostile and the reviews show it.
Real test: sit at the table, scan with the camera on the first try, without leaning in, and time how long it takes to see the menu. If it takes more than five seconds or you have to zoom, change the destination or the size.
